These terms outline the general basis on which LUA provides live event illustration, studio commissions and related creative services. The project proposal or booking agreement supplied for your event forms part of these terms and will set out the final scope, price and schedule.
Bookings and confirmation
An enquiry does not reserve a date. A booking is confirmed only after the agreed booking payment has been received and any requested booking agreement has been accepted.
Pricing and payment
Prices and payment dates are stated in your proposal or invoice. Additional travel, accommodation, delivery, custom materials or work outside the agreed scope will be confirmed before being charged. The client is responsible for providing accurate billing and event information.
Changes and cancellations
Please request changes as early as possible. Changes of date, venue, timing or scope are subject to availability and may affect the price. Cancellation and rescheduling arrangements, including whether payments are refundable or transferable, will be those stated in your booking agreement.
Event access and working conditions
The client is responsible for arranging safe and timely venue access and any permissions needed for the service. A suitable working area, lighting, furniture and other requirements agreed in advance must be available. LUA may pause or stop work where conditions are unsafe.
Artwork and creative variation
Illustrations are handmade in an expressive style. Natural variations are part of the work and exact photographic likeness or colour matching cannot be guaranteed. The agreed number of portraits is an estimate where output depends on guest combinations, clothing complexity, interruptions and event conditions.
Copyright and publicity
Unless agreed otherwise in writing, LUA retains copyright in the artwork. Clients and portrait recipients may display their physical artwork for personal use. Commercial reproduction, resale or brand use requires written permission. Any use of event photographs or artwork for portfolio and promotional purposes will be handled in accordance with the booking agreement and applicable privacy requirements.
Liability
Nothing in these terms limits liability where it cannot legally be limited. Subject to that, LUA is not responsible for indirect losses or for delay or non-performance caused by circumstances reasonably outside its control. Any specific remedies and liability limits are stated in the booking agreement.
